From Bag Sample to First Small Order: What to Confirm Before Reordering

Treat an accepted sample as a reference to document, not a guarantee that the next batch will match. Confirm the exact SKU, material claim, dimensions, hardware and packaging again, then agree what happens if the first order differs.

Calculation and purchase decision

Use one approved sample ID as the reference for each material/color combination. Suppose a 30-unit order has 2 colors: a single black sample leaves the other color unverified. Record a new color sample or keep that color on hold. A photo approval covers the photographed features only; the purchase decision needs a written exception rule.

Build a sample acceptance record

Save the seller link, selected SKU screenshot, sample receipt date and your own observations. Photograph the front, back, lining, handle attachments, closure and any feature that matters to your customers. Use a ruler for dimensions and describe how you measured; a photo without a scale cannot settle a size dispute.

Separate what you observed from what the seller claimed. A sample can show appearance, assembly and basic function, but a photo review does not prove fiber composition, long-term durability or legal compliance. Where a property matters, ask what supporting documentation or testing is appropriate before ordering.

Ask about batch changes before paying

Ask whether the reorder uses the same material, hardware finish, lining, dimensions and packing as the reference. Availability can change after a sample. Request a fresh stock and specification confirmation and forbid automatic color or hardware substitution if consistency is essential.

Agree the inspection coverage, required photos and response path before purchase. Identify unacceptable defects and the person who can approve alternatives. If the QC result differs from the reference, hold export while the seller’s return or replacement options and any associated costs are reviewed; do not assume a refund is automatic.

Make release a separate decision

Review the first-order evidence against the acceptance record, including counts and color split. Record approved differences explicitly. Keep the inspected sample and the batch evidence for the next reorder rather than relying on an old listing image.

Prepare the sample-to-order release record

Edit this local table, then copy it into your sourcing request. Entries are not saved or sent automatically.

Sources and calculation method

Method: the editorial comparisons use the cited specifications; worked calculations state their assumed inputs. Product-page descriptions do not establish physical fit, material performance or stock.

Questions before purchase

Does an accepted sample guarantee the batch?

No. Confirm the current batch specification and inspect against the recorded reference.

Can photos prove material composition?

No. Photos help check visible features; material claims may need documents or appropriate testing.

Should I approve export before seeing the agreed QC evidence?

Review the agreed evidence and resolve material differences before giving release instructions.
